From Paper to Pixels: A Field Operations Case Study
A 60-person field team was drowning in paper forms and WhatsApp chaos. Here's how we moved them to a fully offline-capable mobile workflow in under three weeks.
When we first spoke to this client, their field operations looked like this: 60 technicians across three cities, each carrying a clipboard of paper forms. Job assignments were sent via WhatsApp. Completion sign-offs were photographed and sent back. Someone in the office manually re-entered all of it into a spreadsheet.
Data was delayed by 24–48 hours. Jobs were getting lost. Disputes about completion were common because signatures on a phone photo don't hold up well. The operations manager was spending 3 hours a day just reconciling records.
We built them an offline-first mobile app. Technicians get their jobs assigned digitally, with all the details they need. They complete the work, capture signatures on-screen, and submit — even if they have no data connection. The app syncs as soon as connectivity returns.
The office side sees real-time updates the moment sync happens. No re-entry, no delays, no lost jobs. Disputes have dropped to near zero because every completion has a timestamped, GPS-tagged digital record.
We shipped it in 18 days. The operations manager now spends 20 minutes a day on what used to take 3 hours. That's the compounding power of automating the right workflow.
